These terms govern your company’s use of Scanified. They are written to be read by the person who has to sign them. If something here is unclear, ask us before you agree to it — hello@scanified.com.
By creating an account you agree to these terms on behalf of your company. If you do not have authority to bind your company, do not create the account. “You” means the company; “we” means Scanified.
You are responsible for the accounts you create and the people you invite. Keep credentials private, deactivate people who leave, and tell us promptly if you believe an account has been compromised. Each person must use their own login — the ledger records who did what, and shared logins destroy that.
Everything you put into Scanified remains yours. We store and process it to run the service for you and for no other purpose. We do not sell it, we do not rent it, and we do not use it to train models. We do not share it with anyone except the infrastructure providers listed in our privacy policy, who process it on our instructions.
You can export your assets, customers, rentals, scans and invoices to CSV at any time from inside the product, without asking us.
We will keep the service available and tell you about material changes in advance. A nightly encrypted database backup is built and scheduled; until we have a verified successful run and a tested restore, we are not going to promise your data is backed up, because a promise we have not checked is not a promise we can stand behind. We do not yet publish an uptime percentage, because we do not yet run the independent measurement that would make one honest — we will not promise a figure we cannot measure. If an outage affects you, tell us and we will credit the affected period.
Do not attempt to access another company’s data, probe the service for vulnerabilities without telling us first, resell access, or use Scanified to store data you are not lawfully allowed to hold. Security research is welcome — see our security page for how to report a finding.
Paid plans are invoiced on net-30 terms, the same way you invoice your own customers — see the pricing page for current prices, which exclude tax. We will give at least 30 days’ notice before changing the price of a plan you are on. Fees already paid are not refundable except where the law requires it, but you can cancel at any time and will not be billed again.
The trial runs 30 days and does not require a card. Nothing bills automatically when it ends. If you do not subscribe, your account becomes read-only so you can still export, and we will tell you before anything is removed.
You may cancel at any time from the settings page. We may suspend an account that is being used to attack the service or to break the law, and we will tell you why. After termination your account is closed and locked immediately; the data stays in the system, unreachable by anyone at your company, until we permanently delete it at your request or our own discretion. If you want it gone sooner, or want a copy first, tell us and we will do either.
Scanified is provided as it is. We do not warrant that it will be uninterrupted or free of defects. To the extent the law allows, our total liability for any claim arising out of these terms is limited to the fees you paid us in the twelve months before the claim, and neither party is liable for indirect or consequential loss.
Scanified is a record, not a regulator. Compliance features — requalification dates, recertification intervals, inspection reminders — are there to help you meet obligations that remain entirely yours. Do not treat a green badge in our product as legal clearance to ship a cylinder.
We may update these terms. If a change is material we will email the account owner at least 30 days before it takes effect, and continuing to use the service after that date means you accept it.
These terms are governed by the laws of the Province of Saskatchewan and the federal laws of Canada that apply there, and the courts of Saskatchewan have jurisdiction.
